MINUTES OF CENTRAL LANCS GRAND PRIX MEETING

2.      Committee

 

The following officials were elected for the 2010 season:-

Race Results Co-ordinator –Vince Ashton

 

A further AGM shall be held in December 2009, (date to be confirmed). Officials will thereafter be re-elected at the subsequent AGM in December 2010.

 

3.      Member Clubs

The following have committed themselves as member clubs for the 2010 season:

Astley & Tyldesley Road Runners, Burnden Road Runners, Chorley Harriers, Horwich RMI Harriers, Lostock AC, Radcliffe AC, Swinton RC, Wigan Phoenix AAC, Wesham Road Runners.

 

Dave Waywell of Wesham will gauge the interest of Preston Harriers as a potential additional member this week and report back.

 

It was agreed that other clubs, who do not host races, are free to join the Grand Prix for a fee of £25 p.a.

 

4.      Race Results Co-ordination

Vince Ashton has undertaken to take on this role for no fee.

Prompt disclosure of results to Vince from host clubs is essential.

Vince will co-ordinate the results and have them published on the CLGP web-site (see below).

 

It was suggested that in the absence of any other sponsors, the Grand Prix should incorporate the name of Vince’s organisation – VLA Events – into the title of the competition e.g. The VLA Central Lancs Grand Prix.

 

5.      Rules for Competition

 

            (i)         10 runners to count in ‘A’ team

            (ii)        8 runners to count in ‘B’ team

            (iii)       6 runners to count in Vets team

            (iv)       4 runners to count in Ladies team

(v)        Races to be held –9 (can be increased to 10 max with the addition of another club)

(vi)       Best 6 out of 9 races to count for individuals – or could be

            Best 7 out of 10 races

            (vii)      Team result – worst race to be discarded

(viii)      Entry on the day – no extra charge to CLGP runners. Race organisers should inform other CLGP members clubs if the race is getting close to being fully subscribed.

            It is the responsibility of the individual runners to inform the race organiser of their CLGP status.

(ix)       Runners cannot compete for more than one club in the Grand Prix in the same season. Results will only count for the first claimed club.

(x)        Clubs must stipulate that all competing athletes wear club colours, save for exceptional circumstances.

 

6.      Finance

 

It was proposed that the competition will be financed by a £0.50 levy per CLGP runner in each race. e.g. If 100 CLGP runners participate in one of the races, the host club will be due to pay £50.

 

Levies will be paid by member clubs upon completion of each race. Invoices for levy fees will be raised and monitored by the Treasurer.

The level of the levy fee will be confirmed at an AGM in December and thereafter reviewed on annual basis.

 

Failure to pay the race levy within 28 days of a request for payment by the Treasurer may result in the club’s suspension from the League until payment is settled.

 

Any balances remaining in the accounts after the commitments of the current CLGP committee have been honoured, will be transferred to the new organisation.

 

Excess funds, after costs for administration and the race results service are covered, will be used to finance end of season prizes.

 

7.      Prizes

 

Team trophies from the current CLGP competition will be transferred for presentation in the new competition.

 

Individual trophies will be awarded for first 5 men, 1st and 2nd male vets in each category, first 3 ladies and 1st lady vet in each category. 

 

Male Vet categories start at V40 and Lady Vet categories at L35.

 

Juniors will compete in the open age competition.

 

8.      Prize Presentation

 

Prizes will be presented as soon as possible (by mid November) after the last race in the calendar at a suitable venue.

 

It is proposed that each participating club should, in rotation, undertake to host the prize presentation. This may be a recognised race, a ‘Social Run’ or a social event. The host club will fund the event and recoup any out of pocket expenses through an admission fee.

It was agreed that the following clubs should host the event for the next 3 years:-

 

2010: Astley & Tyldesley

2011: Wigan Phoenix

2012: Wesham

 

The host club for 2013 will be elected at the 2010 AGM.

 

9.      Web-Site

 

A dedicated CLGP web-site will be established which will house results, race news, directions and links to member clubs.

Contributions to the web-site from member clubs are encouraged.

Clubs hosting races are expected to forward race reports for their particular race.

 

10.  Grand Prix Race Dates

 

The following dates are proposed for the 2010 season. Some dates may be subject to amendment:-

 

28th February:            Lostock 6

21st March:                 St.Annes 10

18th April:                   Radcliffe 10km

12th May:                    Haigh Hall 4

6th June:                      Smithills Serpent 5

14th July:                     Horwich 5

4th August:                  Chorley 4.4 Trail (to be confirmed)

26th September:          Swinton ½(?)

10th October:              Gin Pt 5

 

11.  Sponsorship

Members were asked to identify potential sponsors for the competition where possible. This may not necessarily take the form of monetary support, but could include the free supply of services and goods.

 

12.  Any other business

 

a). It was suggested that the title of the competition was re-branded to make it more attractive to members. Incorporation of a sponsor’s name was suggested, with maybe a change in title to Central Lancs Premier League or something similar. It was pointed out that the trophies are already engraved with Central Lancs Grand Prix).

 

If members have any specific proposals, the ideas will be circulated by the Secretary for comment.

It was suggested that the competition could be marketed more aggressively – creation of posters, articles in local papers etc.

b). It was suggested that we consider a Junior Grand Prix to run alongside the Senior Event for the 2011 Season.
